The Ontario Association of Career Management (OACM) is a not-for-profit association dedicated to advancing the knowledge, service delivery, and the livelihood of career management professionals across Ontario.
We are currently seeking a volunteer join the Executive of the OACM as the Secretary of the Board in a growing, volunteer-run organization. Time commitment:
- Average 3-5 hours per month, up to 10 hrs in the months of March and September
- Minimum 2-year term
Qualifications
- Knowledge of meeting procedures, minute-taking, decision-making rules, governance policies
- An adequate level of writing proficiency, organizational skills and attention to detail
- A commitment to developing a clear understanding of the mission of the organization and the bylaws
- Available to attend all board meetings, participate in the discussions and capture the key elements of each meeting e.g., motions made, action items committed to, etc.
- Strong capability for working in a virtual team environment
- Self-motivated, with the ability to carry out the commitments of this role in a timely manner with minimal supervision
Responsibilities
- Be (or become) a fully paid Member of the association
- Takes Minutes for each Board meeting (including the Annual General Meeting) and distributes them in a timely manner; 6-8 Board meetings are held each year (approximately every 6 weeks)
- Provides advisory counsel to the Chair of the Board on strategic, operational, and interpersonal dealings as related to our role, guidelines, and mandate
- Assists in the organization and maintenance of the association’s digital Dropbox folders, especially concerning any governance and legal documentation
- Assists the Chair and Board with follow-up and adherence to our commitments as in the minutes
- Keeps a record of all Board Meeting Minutes and of the Official Letters Patent (Incorporation).
- Obtains and maintains an up-to-date Profile Report from the Ministry of Government Services (MGS) whenever changes are made to the officers or other association information; submits updates of all name changes in Officer roles (Chair, Vice-Chair, Secretary, Treasurer) to MGS following each AGM and when other changes occur in these roles. These updates allow our Incorporation to remain up-to-date and in force
- Is the registered agent with respect to the laws of the province governing the association; the person upon whom legal notice to the organization is served, and responsible for ensuring that documents necessary to maintain the association’s not-for-profit status are filed in a timely manner
- Liaises with and renews membership with Volunteer Canada by March 31st of each year
- Liaises with and renews Directors’ & Officers’ Liability Insurance policy by March 31st of each year
- Advocates on behalf of career certification as an association benefit with the Institute of Career Certification International (ICCI)
- Maintains and updates strategic agreements with other organizations such as CDPCBO
- Provides advice and resources to the board on topics such as amendments to the provincial laws governing the organization, etc., that will assist the association in continuing to meet the requirements of its not-for-profit status.
